Handover and retention checklist

Before use

Check current sector rules in the related articles. Add accountable roles, specific sources and steps actually performed. Do not enter unnecessary personal data.

How to complete the template

  1. Inventory of documents, versions and connections

    Inventory documents, annexes, change history and original reports. Record the received version for every item.

  2. Readability, attachments, format and completeness check

    Open the export on another device; verify readability, complete long answers and annex references.

  3. Secure transfer and receipt confirmation

    Verify the recipient and permissions. Choose a protected channel and retain receipt confirmation, not just proof of sending.

  4. Applicable retention rule and starting event

    Determine document category, applicable period and starting event under section 16; training records have a different regime under section 23.

  5. Access, backup, restore and documented supplier deletion

    Test backup restoration. Request supplier deletion only after verified receipt and assessment of other retention duties.

Illustrative use

MODEL ARC-01: PDF, Word and JSON received, annex A missing. Recipient confirmed readability of three files. Conclusion: incomplete handover; request annex, do not yet request source-copy deletion.
